How Does SAP FICO Manage Internal Order Settlement?

Oct 10, 2026

Many of the companies has jobs that costs money outside the normal daily work. This could be a trade fair, a plant repair or a new building. Someone needs to track these costs and then move this to a right place. In SAP, an internal order would be able to collect these costs and settlement will pass them on.

This article focuses om understanding how SAP FICO manages the internal order settlement. It will help you understand the main topics such as how the process works, what you set up first, and where mistakes usually happen. Taking an SAP FICO Online Course can help you get everything you need to know about this. Also, this online course is the best one for learning at your own pace from anywhere.

What an internal order is

An internal order is a Controlling object. You open one for a particular job, and every cost for that job is posted to it. The costs can come from purchase orders, vendor invoices, payroll, or manual journal entries.

The order only holds the costs for a while. Later they have to go to a cost center, an asset, a G/L account, or a project. That move is called settlement.

There are four main order types:

 - Overhead orders: for costs like marketing or maintenance.

- Investment orders: for costs of building an asset.

- Accrual orders: these offset accruals booked in Financial Accounting.

- Orders with revenue: these track both the cost and the income of an activity.

Why you need settlement

If you never settle, the costs just sit on the order. Your reports stay incomplete and the balance sheet and P&L don't show the real numbers. Settlement brings the order to zero and passes the amount to the right receiver. Most teams do it every month as part of closing.

What you set up first

Settlement depends on a few settings. In an SAP FICO Online Course, you usually learn these early.

 - Settlement profile: linked to the order type. It controls which receivers are allowed and whether a settlement rule is required.

- Allocation structure: decides how cost elements are grouped when settling. For example, it controls whether primary and secondary costs show separately on the receiver.

- Source structure: lets you split the order's costs into parts, so each part can go to a different receiver.

- PA transfer structure: only needed when settling to profitability analysis. It maps costs to value fields.

- Settlement rule: set in the order itself. It says who gets the costs and what percentage each one gets.

Steps in the process

1. Create the order in KO01 and choose the order type.

2. Enter the settlement rule in the order.

3. Release the order so costs can be posted.

4. After costs are posted, run settlement. Use KO88 for one order or KO8G for many orders at once.

Settlement can be full or periodic. Full settlement moves everything at once, usually when the job ends. Periodic settlement moves costs every period, which works better for jobs that run for months.

Where the costs go

It depends on what the order was for.

 - Maintenance and marketing orders usually go to a cost center.

- If you want the cost to hit an expense account directly, settle to a G/L account.

- Investment orders go to a fixed asset. This is normally done through an asset under construction first, then to the final asset.

- You can also settle to a WBS element, another order, or a CO-PA segment.

How FI and CO connect

This is why the module is called FICO. When you settle, the system creates a Controlling document. If the receiver needs it, it also creates a Financial Accounting document.

Common errors

Most settlement errors come from one of these:

- No settlement rule has been entered.

- The order status blocks posting, for example because it is already closed.

- The posting period is locked in FI or CO.

- The allocation structure is wrong, so costs land under the wrong cost element.

- The asset or asset under construction doesn't exist yet for an investment order.

If settlement fails, check these five first. They explain most cases.

Why it helps your career

Whenever you appear in any SAP FICO interview, you will be asked about Internal order settlement. If you have learned this in SAP FICO Certification Training, then you can easily answer the questions related to month-end close, project costing, and asset capitalization. This will show your employers that you have knowledge of the same.

How to learn it

If you are looking to learn through the classroom learning method, applying for the SAP FICO Course in Hyderabad can help one to get job as well. Because many of the SAP companies are looking to hire freshers, where one can get real experience.

Conclusion:

After learning SAP FICO Course, you would be able to do several things such as Costs to be collected on an order. A settlement rule tells SAP where they should go. The settlement run moves them and clears the order. Once the profile, allocation structure, and rules are set up correctly, the monthly run becomes routine.
